Job Description :

As an Administrative Assistant, you will be responsible for managing and completing assigned projects. Typical duties include planning, developing, and implementing programs and projects. This role will be responsible for ensuring all projects are completed on time and are met with consistence and accuracy. In addition, this position provides administrative support to the President. Such duties would involve, planning travel, coordinating meetings, and reconciling expenses. The Administrative Assistant has varying weekly duties for other departments such as Support, Accounting, and Contracts.


  • Various Salesforce related data cleanup projects
  • Schedule and coordinate quarterly Town Hall meeting
  • Assist support with reaching out to customers who have cases in the “Awaiting Customer Response” status to see if case has been resolved
  • Perform various data entry related projects related to support and other department metrics
  • Send all customization request letters to customers and then create the Opportunity and Work Orders in Salesforce for Contracts
  • Create and send termination letters to customers
  • Oversee the Maintenance Clerk and his daily functions
  • Greet all visitors (vendors, customers, etc.) to the office
  • Facilitate on-site meetings and alert office when guests are in-house
  • Place all internal orders for items such as hardware, headsets, and software licenses
  • Announce new and departing employees on the company’s intranet site
  • Create and manage the quarterly Leadership Award
  • Keep Organization Chart updated
  • Update company-wide phone listing
  • Field all calls from vendors regarding payment
  • Act as a liaison between Jonas Accounting and Springer-Miller employees regarding the payment of invoices
  • Code all invoices in Iron Mountain accordingly and route to the appropriate managers
  • Upload all invoices into accounting software
  • Support the Hospitality Business Unit Presidents day to day operations

  • Post-secondary education including Degree or Diploma in Business Administration, Hospitality or 3+ years’ experience in a related field
  • Very proficient in Microsoft Office 2013 (or higher) applications including Outlook, Word, Excel and PowerPoint. 3+ years mandatory
  • Excellent written and verbal communication skills
  • A high degree of understanding of confidentiality when it comes to company and personnel information
  • Experience with is an asset but not required
